The result: revenue is good, but GST filings are stressful, staff costs are unclear, and no one really knows which rooms are most profitable. This guide covers the operational systems every guesthouse owner should have in place.
Core Systems Every Guesthouse Needs
1. Property Management System (PMS)
A PMS handles your booking calendar, guest check-in/check-out, and room rate management. Basic options for small guesthouses include:
- Cloudbeds — popular with small properties globally, supports OTA integrations
- Little Hotelier — designed specifically for small accommodation providers
- Odoo PMS — works best when integrated with Odoo accounting (eliminates double data entry)
Whatever you use, your PMS should connect directly to your booking channels (Booking.com, Airbnb, Expedia) to avoid double bookings.
2. Accounting and GST Compliance
If your annual turnover exceeds MVR 1,000,000 — which most active guesthouses exceed within a year or two — you are required to register for GST and file monthly returns at the 16% tourism rate.
Your accounting system needs to:
- Record all revenue by room type and date
- Track all deductible business expenses (food, laundry, maintenance, utilities)
- Generate GST output automatically from bookings
- Produce a balance sheet and profit and loss statement for annual BPT filing
Many guesthouses try to manage this in spreadsheets. It works until it does not — typically at the first MIRA audit.
3. Payroll and Staff Records
Even a 15-room guesthouse typically employs 8–15 people. Under Maldivian labour law, you are required to:
- Maintain written employment contracts for all staff
- Pay salary on time (not more than 7 days after month-end)
- Contribute to the Maldives Pension Administration Office (MPAO) for Maldivian nationals
- Maintain work permits for all foreign staff
- Keep records available for Department of Labour inspections
A simple payroll spreadsheet can handle this at early stage, but errors are common and the fines for late pension contributions add up quickly.
Pricing for Profitability
One of the most common mistakes we see in guesthouse management is pricing rooms by gut feel rather than data. To price profitably, you need to know:
- Your total fixed costs per month (staff, utilities, loan repayments)
- Your variable costs per occupied room per night (food if included, laundry, toiletries)
- Your average occupancy rate by season
- Your average daily rate from each booking channel
With this data, you can calculate your break-even occupancy and set rates that actually generate a margin — not just cover costs.

- [ ] Registered for BPT (Business Profit Tax)
